Common Scenarios
Real situations and how to handle them using the Project Hub
Client hasn't seen updates in 3 days
Upload photos to the Photos tab. Client gets notified and can see progress in real-time. Builds confidence the job is moving forward.
Contractor claims 40 hours worked; client says it should be 30
Review the Time Tracking tab. Every entry is timestamped and task-tied. No ambiguity. If dispute, adjust hours with client approval.
Mid-project, client realizes they want to add work
File a change order from the project page. Include new tasks, updated timeline, and revised invoice. Client approves new scope before work begins.
Client disputes final invoice; says they didn't authorize those materials
Show the Materials tab. Every item is logged with date and quantity. If client didn't approve, you can remove/adjust before sending final invoice.
Project is 2 weeks behind schedule
Update the Timeline with revised dates. Client is notified of the delay and new completion date. Document reason in task notes for accountability.
What to Watch Out For
Common pitfalls and how to avoid them
Incomplete Task Updates
The Problem
If you don't mark tasks as complete, client sees stale progress. They lose confidence.
The Fix
Update task status daily or after each work session. Spend 2 minutes at day-end to keep it current.
Forgetting to Log Materials
The Problem
Materials are needed to generate accurate invoices. If you add them only after the job, client questions the charges.
The Fix
Log materials on-site as they're used. This also tracks waste and cost overruns early.
Time Tracking Gaps
The Problem
If you clock in/out inconsistently or forget, your timesheet is incomplete and open to dispute.
The Fix
Develop a habit: clock in when crew arrives, clock out at end of day. Use manual entry for the previous day if you forget.
No Photos Until the End
The Problem
If you only upload before/after photos, you miss the story of the work. Client has no proof you actually did the work mid-way.
The Fix
Take 3-5 progress photos per week. Captions help: 'Demo complete, framing started' or 'All rough-ins passed inspection.'
